Don’t jump to conclusions the moment the generation is complete
The most common place for people to misjudge when AI makes PPT is the moment when the generation is completed. More than a dozen slides appear together, with uniform colors and complete pictures, which seems to save a lot of time. Only when you actually open the page-by-page modification will you find that the outline is repeated, there are too many words on each page, the data has no source, or the font and layout have changed after exporting.
Therefore, "ease of use" cannot only be determined by the speed of production, but also by how long it takes to rework from materials to deliverable files.
The first item is the outline, not the template.
Don’t let the tool do ten pages directly yet. Turn in the raw material and ask only that it give the audience, the purpose of the report, the core conclusions, and the questions to be answered on each page. The page will be generated after the outline is passed.
- Is there a clear task on each page, or is the same point repeated three times in different words?
- Do important conclusions appear in the first few pages, rather than buried in the final summary?
- Have the data, cases and conclusions not in the materials been filled in?
- The number of pages comes from content needs, or is it to fill up the "standard ten pages"?
PowerPoint Copilot can generate presentations based on prompts or a Word or PDF file; Microsoft also recommends using Word styles to organize the source document structure first. Gamma can generate text from themes, paste existing text, or import files and reorganize them. Whichever you use, the clearer the title hierarchy of the source material, the less likely it is that your outline will be cluttered.
The second item depends on how much changes need to be made to put the actual content into it.
Whether the typesetting is good or not depends not on whether the color is high-end or not, but whether the actual content will collapse after being put in. Tested with three of the most difficult pages: one with a long title and five numbers, one with horizontal flow, and one with Chinese tables.
- Originally working in PowerPoint: Copilot can continue to edit in existing PPTX, company templates and slides, reducing copying back and forth; however, some generation and design capabilities are affected by subscription, Designer and organizational settings.
- Want to quickly make a web-style presentation: Gamma is better at putting content into adaptive cards and themes, and can also import text, presentations, and web pages; if you must comply with a strict company master, you must test theme import and page-by-page adjustments in advance.
- You just need to clarify the content first: general conversation or document tools can write outlines and lecture notes first, but the Markdown or documents it gives are not equivalent to ready-to-deliver slides.
The tool that saves the most trouble is usually the one closest to your final editing environment. If you want to submit PPTX in the end, give priority to testing the modifications in PowerPoint; in the end, only send links or PDFs, and the advantages of web-based tools will be more obvious.
The third item must look at the exported file
Just because the export button can be clicked does not mean that the exported file can continue to be used. Open PPTX and PDF at least once and check page by page.
- Whether the font has been replaced, whether the Chinese characters overflow or wrap;
- Are there any changes to pictures, charts, gradients and transparency effects?
- Whether animations, videos, and speaker notes are retained;
- Can text and graphics continue to be edited, or have they become a flat image?
- Whether the free version exports product tags.
Gamma officially supports the export of PDF, PNG and PowerPoint, and clearly states that the export is subject to the demonstration mode. Some gradients, special effects and fonts may be different in third-party software; free account exports will be marked with Gamma. PowerPoint Copilot works directly in PPTX, but still check for facts, pictures, and notes that the tool supplements.
Select according to final delivery method
- The company already has a PowerPoint template and will eventually have to submit PPTX: try Copilot in PowerPoint first.
- There is no fixed master and you want to quickly make a beautiful online presentation or PDF: try web-based tools like Gamma first.
- The material is still very messy, and I haven’t even figured out the conclusion: use general AI to organize the outline first, and don’t rush to generate pages.
- Requires repeated updates over time: Prioritize file formats that are already used by the team and can continue to be edited and collaborated on.
The real comparison method is simple: take the same material and generate the same number of pages, make one round of changes in each tool, and then export the same format. Record the number of minutes spent correcting facts, deleting words, changing images, aligning, and fixing export problems. The AI PPT software that is best for you will be the one with the shortest total rework time.
